Organization events

Events are created and maintained under Events in the active organization.

Create an event with date and place​

  1. Open Events, select Actions, then Create event.
  2. Enter the Name and choose Single date or Multiple dates under Times. Maintain Start, and optionally Admission and End.
  3. Under Location or address, search for and select the event location.
  4. Choose a Visibility. Keep Draft selected while the event is being prepared.
  5. Under Features, enable Event management when guests, invitations, emails, check-in, or analyses are needed.
  6. Select Create.

Add guests and send invitations​

After an event with Event management has been saved:

  1. Open the event and select Guests.
  2. Create a participant group if needed, then select Add guests.
  3. Select existing contacts and confirm with Add.
  4. Select the intended guests and use Send to selected, or use the action for all eligible guests.
  5. Review the recipients and content in the email dialog, then confirm only when the invitation should actually be sent.

Adding guests does not itself send an invitation. The final email confirmation is a separate step.

Name badges are printed from the event's admission screen in the installed Scoutello mobile app. The dashboard guest table prints participant lists, optionally with tasks or ticket QR codes; it does not provide a name-badge printing dialog.

  1. In the event configuration, enable name labels under Features and save. A logo can be configured for the labels.
  2. Open the event's admission screen in the installed mobile app.
  3. Select the printer icon, find and select the printer, choose the matching printer model and label size, and save the printer settings. Use the test print before admitting guests.
  4. Check in the guest to print the name badge.
  5. To print it again, open the checked-in guest and use the name-badge reprint action. This requires permission to edit the participant and a configured printer.

The printer icon and name-badge reprint action are available in the installed app, not in a browser. If the user is looking at the dashboard, explain this requirement instead of suggesting unverified print menus there.

Event, experience, or day plan?​

  • Use Events for something that happens at one or more fixed dates and may need guests, invitations, tickets, or check-in.
  • Use Experiences for a bookable or discoverable activity that is offered independently of one event guest list.
  • Use Plans to arrange several places, tours, events, or experiences into a schedule for one or more days.
