Email, scheduling and approvals

Open Email for the active organization. Inbox, archived and spam views contain incoming messages; outgoing views show drafts, scheduled messages and delivery results.

  1. Open Inbox and select the message.
  2. Use Assign contact directly in the message, or create a contact if needed.
  3. For project context, open the message's Actions and choose the project.

These assignments are saved directly. Linking a message does not send a reply.

Compose or reply​

Open the compose action from Email or the relevant contact, project, event or mailing list. A reply keeps the message context; a new email starts a separate composition.

Review the sender, recipients, subject, content and attachments. Sender choices come from the permitted organization or personal email settings. Check the signature in the resulting draft rather than adding it a second time.

Saving a draft does not send it. Complete the explicit send/confirmation action only after reviewing the final recipients.

Schedule a send​

Where the composer provides scheduling, select the scheduling action, choose a future date and time, and review the scheduled message before confirming. Use the date/time displayed in the scheduling control; the actual delivery can also depend on queue and provider processing.

Scheduled messages appear with their recorded send time and status. Inspect the existing message and its available actions to change or cancel it before sending begins. Do not recreate an already scheduled message just because it has not reached its send time.

Review an approval draft​

Integration-prepared email drafts and supported workflow drafts require human review. Open the review link or approval notification and inspect the recipients, sender, subject, body and attachments.

Edit and save the draft if needed, then use Approve & send when it is ready. Preparation through an API or assistant does not itself send the email, and an integration cannot approve its own draft.

After approval, check the delivery status. Approval and successful delivery are separate states. If delivery fails or is uncertain, use the existing recovery/status information rather than blindly submitting another send.

Workflow administration is a platform-staff surface; organization members can still review drafts assigned to them with the required email permissions.

Find a missing message​

Check the active organization, inbox/archive/spam or outgoing view, search and filters, contact/project linkage, permission scope and scheduled send time. For a sent message, distinguish queued, delivered and failed status from the fact that a draft exists.

Modular organizations also have separate operational-email and newsletter allowances. Necessary sales receipts and existing fulfillment are handled separately from optional communication.
